Chair
- Provides leadership to branch
- Coordinates branch and leads executive in setting branch goals and objectives
- Chairs and sets agendas for general and executive meetings
- Serves as an ex officio member of all PPB committees
- Acts as liaison/coordinator among all executive and administrative roles
- Contributes to branch newsletters
- Maintains contact with members in other provinces
Vice chair
- Assists and supports the chair in carrying out some or all of the above-listed roles
- Acts as information officer for executive by developing a report each month on what's new in the editorial world
Branch representative to national board
- Discusses and votes on national issues considered by the national board, examining those issues in the context of the whole association and bringing the branch's perspective to the board
- Reports to the board on branch activities, including on local publications and projects that can be shared nationally or with other branches
- Reports to the board on issues that arise at the branch level that may have consequences for other branches or for the national association
- Reports on national board discussions to the branch executive and arranges for the same information to be passed on to the branch membership when appropriate
- Notifies the appropriate branch contact when local members are needed to sit on national committees
Secretary
- Prepares agendas for executive meetings (with input from executive members); distributes to executive and any other members participating in the meeting one week in advance
- Keeps minutes of executive meetings; distributes within one week of the meeting
- Prepares brief summaries of general meetings
- Keeps permanent records (minute binder)
- Arranges for and books executive meeting venues
- Submits copies of the PPB minutes and any other significant branch publications to the EAC head office (Toronto) and to the chairs of other branches through the branch executive e-forum
- Distributes copies of minutes and accompanying materials to members, on request
- Keeps track of motions, important suggestions, and decisions arising out of email discussions
Treasurer
- Handles (or coordinates) all branch banking and other financial transactions; provides receipts to members as required
- Maintains records of expenses and income and prepares for periodic financial statements as well as a year-end statement
- Helps the executive prepare an annual budget and special projects budget
- Establishes a relationship with the national treasurer and the EAC national office
- Coordinates the sales of EAC publications (Editing Canadian English; Meeting Editorial Standards) by maintaining inventory of ECE and assisting with orders of MES; makes copies available for sale to event organizers, particularly program chair
Membership/volunteer chair
- Responds to requests for information about general membership in accordance with FOIP regulations
- Responds to enquiries about membership and recruits members, working closely with the Chair, Publicity (External & Internal), and the Program Chair
- Contacts potential members and volunteers upon receiving names and contact information
- Coordinates with executive concerning the roles volunteers can play
- Establishes a relationship with the national membership chair and the National office
- Coordinates contact with new members
Program chair
Ideally, there will be a program chair for each major centre and these chairs will be supported by an assistant or by a team of volunteers. If a team approach is used, one individual is needed to represent the team at executive meetings.
Program chairs do or delegate the following tasks:
- Works with publicity chairs to develop a marketing plan and timeline
- Develops a program budget for the year
- Develops a program plan (including topics and speakers for general meetings, courses, and special events)
- Presents program plan to the executive in September (at the same time the marketing plan is presented to the executive)
- Keeps informed about other locally offered editing and editing-related courses
- Books venues for general meetings, special events, and courses
- Develops course budgets on a cost-recovery basis; presents to the executive for review and approval
- Liaises with publicity chairs and newsletter editor to ensure that meetings are adequately publicized
- Works with the publicity chair, internal to ensure that registration forms are posted to the PPB website and sent to all members and non-members
- Takes RSVPs and course registrations and handles all follow-up (such as distribution of receipts)
Publicity chair, external
- Takes on the key responsibility for raising public profile of the branch and of editors generally - among clients, potential members, and other relevant groups and agencies
- Works to establish awareness of EAC-PPB through media, advertising, sponsors and cooperative relationships with agencies that deal with the written word
- Leads planning committee in developing and directing the implementation of a marketing plan and timeline consistent with the goals and objectives set up at the AGM for PPB program and corporate activities
- Presents marketing plan and timeline to the executive in September for review and approval
- Develops a budget for the year's marketing activities
Publicity chair, internal
- Receives membership database from National and maintains a current distribution list
- Distributes current membership lists to the executive
- Maintains non-member database and forwards program information to interested non-members
- Works closely with the program chairs to coordinate publicity for meetings, special events, and other activities for members, potential members, and to appropriate "sister-agencies"
- Liaises with head office to ensure that the PPB web page is maintained and updated
- Tracks potential members and lapsed members and forwards list to membership volunteer chair
