Executive job position highlights

Chair*

  • Provides leadership to branch
  • Coordinates branch and leads executive in setting branch goals and objectives
  • Chairs and sets agendas for general and executive meetings
  • Serves as an ex officio member of all QAC committees
  • Acts as a liaison between various regions that make up the QAC branch
  • Acts as a liaison/coordinator among all executive and administrative roles
  • Contributes to branch newsletters

Branch representative to national board*

  • Discusses and votes on national issues considered by the national board, examining those issues in the context of the whole association and bringing the branch’s perspective to the board
  • Reports to the board on branch activities, including local publications and projects that can be shared nationally or with other branches
  • Reports to the board on issues that arise at the branch level that may have consequences for other branches or for the national association
  • Reports on national board discussions to the branch executive and arranges for the same information to be passed on to the branch membership when appropriate
  • Notifies the appropriate branch contact when local members are needed to sit on national committees

Secretary*

  • Keeps minutes of executive meetings; distributes within one week of the meeting
  • Keeps and distributes minutes of annual general meeting
  • Keeps permanent records (minute binder)
  • Submits copies of the QAC minutes and any other significant branch publications to the EAC head office (Toronto)

Treasurer*

  • The Branch has recently purchased accounting software that the branch administrator uses to enter financial transactions, maintain records of expenses and income and prepare periodic financial statements as well as a year-end statement for the ratification of the Treasurer.
  • Monitors and ratifies the reports produced by the branch administrator
  • Helps the executive prepare an annual budget and special projects budget
  • Establishes a relationship with the national treasurer and the EAC national office and submits reports, as requested
  • Presents financial reports at executive branch meetings and annual general meeting

*These positions must be filled by EAC voting members in good standing.

Professional Development Chair

  • Serves on the Branch Executive Committee and reports on seminars
  • Organizes and holds seminar development committee meetings (three a year)
  • Designs seminar program with the help of seminar coordinators
  •  Posts information on seminar content, speakers and calendar on EAC web site
  • Promotes seminars
  • Liaises with seminar coordinators and branch administrator
  • Reviews contracts for venue and catering with QAC Treasurer

Professional Development Coordinator

  • Attends the professional development meetings (three a year)
  • Participates in selecting seminar topics and speakers
  • Organizes one seminar: contacts speaker and obtains information about seminar for posting on the QAC webpage and for publicity:  bio, brief seminar description, availability for pre- or post-seminar meetings with local members, etc. (Attends seminar for free)
  • Makes venue and catering arrangements and sends contract to PDC Chair
  • Prepares information about seminar content (e.g., speaker bio, seminar description, venue, time and place) and forwards it to the professional development chair
  • Answers emails about the seminar
  • Looks after printing and delivery of handouts
  • Takes attendance
  • Introduces speaker and EAC association
  • Hands out and collects evaluation forms
  • Thanks speaker and announces next seminar

Networking/Events Coordinator

  • This position can be shared by more than one person.
  • Selects format and frequency of networking events with the help of the executive committee
  • Selects venues with the approval of the treasurer
  • Books venue and sends invitation to branch administrator to distribute to members
  • Checks registration with branch administrator
  • Attends event
